Product Synopsis:

Znifa developed a web-based system comprised of distinct modules for managing Users, Courses and Departments, maintaining student details, handling hostel and mess information, setting up fees and tracking payments, processing applications and generating reports. The system features role-based access, ensuring users can only view information relevant to their responsibilities. With a simple side menu, users can easily perform tasks such as adding students, checking payments, and accessing reports efficiently.

Znifa assigned a focused team of five professionals to the project. This team undertook a comprehensive analysis of the existing system, conducted a thorough technology evaluation, and was actively involved in designing the solution, developing the application, deploying it, and providing continuous support. Their proficiency in the selected technologies and agile practices played a key role in the project's successful delivery.

The key challenges were:

  1. No single place to view all student, fee, and course information.
  2. Applications and semesters details were tracked manually.
  3. No centralized report generation for decision-making.
  4. Repetitive manual tasks for staff across departments.
  5. No clear tracking of pending or overdue fees.
  6. Lack of visibility into scholarship status and eligibility.
  7. Refund processes were inconsistent and undocumented.
  8. No real-time monitoring of student movement (Hostel, Transfer, or Dropout).

Solution Implementation:

Znifa created a clear system with modules shown in a side menu. Each module helped solve different needs:

  1. Dashboard: Shows total applicants, students per semester, total fees, and active/inactive students.
  2. Masters Module: Used to manage users, departments, course details, hostel/mess info, and fee structures.
  3. Applications Module: Handles admission steps from application to selection.
  4. Students Module: Keeps all student details, including scholarships and hostel info.
  5. Fee Transactions Module: Tracks all payments, changes, and unpaid fees.
  6. Reports Module: Gives real-time reports for students, courses, and fees

Results and Data:

After the system was added, the college saw many improvements. Key results and data include

  1. 80% less manual work, especially for fee and admission tasks.
  2. All student and course data are stored in one place.
  3. Applications were processed faster.
  4. Real-time reports helped college administration make better decisions.
